Accounts Office Administrator (Part-Time)

We are seeking an organised and proactive Office Administrator / Accounts Assistant to support a small accountant office in Kilcoy on a part-time, long-term basis. This role is ideal for someone who enjoys working in a professional services environment, supporting both client-facing administration and basic accounting tasks.

This position will suit someone who is detail-oriented, reliable, and comfortable working closely with an accountant in a small office setting. The role is approximately two days per week, with additional hours required during peak periods (July to October).

Location: Kilcoy (ON-SITE)

Key Responsibilities

General Administration

  • Answering phone calls and responding to client emails in a professional manner
  • Meeting with clients in the office and assisting with the collection and processing of client information
  • Scheduling client appointments, including tax return signings and meetings
  • Maintaining and updating work allocation spreadsheets and tracking job progress
  • Coordinating with clients to ensure deadlines and documentation requirements are met

Basic Accounting Support

  • Compiling bank transaction files for entry into Xero Accounting Software
  • Assisting with bank reconciliations under guidance from the Accountant
  • Lodging tax returns once reviewed and signed
  • Following up with clients regarding queries or missing information requested by the Accountant

About You

  • Strong administrative and organisational skills with excellent attention to detail
  • Experience in an office administration or bookkeeping role (accounting practice experience highly regarded)
  • Familiarity with Xero Accounting Software or similar accounting software is an advantage, but not essential
  • Ideally hold a university qualification in accounting, business, or a related field (or equivalent experience)
  • Strong communication skills and a professional, client-focused approach
  • Ability to manage multiple tasks and work independently in a small team environment
  • Trustworthy and comfortable handling confidential client information

Hours & Commitment

  • Part-time role: approximately 2 days per week
  • Additional hours may be required during busy periods (July–October)
  • Long-term position replacing an existing Office Manager role
